FarmSource Cold-Chain/Frozen Item Shipping Guide
This guide walks FarmSource farmers through the 5-step process for shipping perishable and temperature-sensitive products in compliance with Ohio Administrative Code Chapter 3717-1. Step 1 – Order Notification & Preparation: Check your email for a new order notification, log into FarmSource, and review your order details including product types, quantities, and scheduled ship date. Step 2 – Print Label, Weigh & Pack: Prepare and pack your order within 24 hours of pickup. Verify each item’s weight is within 10% of the ordered weight, print your FarmSource shipping label, and pack in an approved EPS foam cooler with pre-frozen gel packs (6 oz per 1 lb of product). Tape the cooler and place it inside a corrugated outer box. Step 3 – Attach Required Labels: Affix the FarmSource shipping label and required handling labels — “Freeze Upon Arrival” (Uline S-13088) and “Perishable 3+5” (Uline S-7392) — to the outside of the box. All labels must be visible on the exterior. Step 4 – Store for Pickup: Place the sealed package in a cooler or freezer immediately after packing. Keep cold continuously until carrier arrival. Do not store at room temperature. Maintain ≤41°F. Step 5 – Carrier Pickup & Confirmation: Have your package ready no more than 24 hours before the pickup window. Confirm pickup in your FarmSource account once the carrier collects it. Cold chain responsibility transfers to the carrier at pickup.
